When the employee, sales person or busy business person comes back to the office their phone message will be sitting in their Inbox ready for them to handle.  It doesn't matter if it's after hours and the receptionist has already left for the day ... just check your inbox. 

If you've got access to your email from your cell phone or PDA, you can check your phone messages from anywhere.  Maybe you work from home ... just check your email.  Or if you're on the road on a business trip or vacation with your laptop, getting an Internet connect from a WIFI is becoming easier and more abundant every month ... just pull down your emails.

Then, just sort your emails by the Subject Line and you can have all of your phone messages together to be handled at the same time because they all start with "Phone Message from ...".  The subject line even has the name of the person calling for you to help you quickly find the phone message you're looking for.

Once handled, if your client management system allows, you can attach the email to the clients record keeping a complete history of their call ins.  Or maybe you'll have each email cc'd to another person to handle this task for you.  That's automatic with the Automatic Phone Log System.

If you're on vacation and have access to your email you can see what pressing things are happening at the office requiring your attention without needing to call your receptionist.  Just read your Phone Message emails.  If the insured requires immediate attention and you just can't get to it, forward the email to another staff person to handle.
